Many client-service companies begin their resource planning with Google Sheets or by adapting their existing project management tools. However, most PM tools fall short for resource planning, pushing companies to seek specialized solutions.

Unfortunately, those resource planning apps are often designed for larger organizations and come loaded with features like accounting, time tracking, and task management – and also typically use resource-based pricing, charging based on the number of resources managed.

What’s wrong with per-resource pricing

As an agency, we understand the frustrations of resource-based pricing firsthand. During conversations with Hellotime beta users, a common sentiment emerged: “Why should I pay $5, $6, or even $10 for every additional record in a database?” This pricing model often feels restrictive and frustrating, especially for businesses aiming to grow without incurring excessive costs.

There is nothing inherently wrong with charging based on the number of resources. We understand that SaaS companies aren’t charities and need to make a profit. However, we believe this model doesn’t suit the needs of small to medium-sized teams.

Here’s the downsides of resource-based pricing:

  • Unpredictable costs: With resource-based pricing, expenses fluctuate, making it hard to anticipate monthly or annual costs.
  • Penalized growth and scaling: As teams grow, adding users or resources can cause significant cost increases. This model makes budgeting less predictable, and often, price hikes don’t reflect added value for users.
  • Overpaying for inactive resources: Many resource planning tools charge based on the total number of team members, even if they’re not active in every project — or even if they don’t have an account.

When we decided to roll out paid plans for Hellotime, we knew there had to be a better way.

Hellotime: fair, flat pricing focused on value

We designed Hellotime’s pricing to reflect the true value it provides. We based our pricing on the number of future planned activities — or active projects. This focus means the cost is tied to your active projects, not your team size. With Hellotime, adding team members doesn’t increase your costs.

Hellotime offers a free plan for up to 5 active projects with full access to all features, allowing freelancers, startups, and small teams to explore the platform without worrying about trial expirations.

Beyond 5 active projects, Hellotime is available at €49/month or €490/year, offering predictable, growth-friendly pricing that won’t rise as your team expands.

Our paid plan includes up to 100 active projects; this limit is deliberately generous so that the average Hellotime user doesn’t need to worry about it.

What counts as an active project?

An active project is defined as any project with at least one person assigned to future work. Hellotime is focused on helping you manage and optimize your team’s upcoming workload, so you’re not charged for inactive or completed projects.

While your past project allocations remain accessible for reference, they don’t affect your pricing. This approach frees you from archiving old projects just to save on costs, enabling better resource planning without added fees.
